Korean Email to Professor: a Practical Guide

A Korean email to professor is a formal message with a subject line that names the course and the purpose, a greeting to the professor as 교수님, a self-introduction with your course and student number, one polite request, and a closing with thanks and a wish for good health. This guide gives a template and three request patterns: absence, a question and an appointment.

Key facts

  • The subject line carries the course name and a short purpose in brackets and a noun phrase: [한국어 읽기] 에밀리 스미스 면담 요청드립니다.

What you'll be able to do

  • Write a subject line that gives the course and purpose.
  • Greet a professor and introduce yourself with your course and student number.
  • Make a request for absence, a question or a meeting in polite formal Korean.
  • Close the email with thanks, a wish and a signature, and avoid chat forms.

Before you start: you should know how to write a short polite email. If not, study how to write an email in Korean first. You also need the formal ending -ㅂ니다/습니다 and the honorific -(으)시-, which the lesson on Korean honorifics explains. Audio plays only when you press a button.

How Is a Korean Email to Professor Structured?

A Korean email to a professor has six parts in a fixed order: subject, greeting, self-introduction, request, thanks and signature. The shape is close to a business email, with two differences. The subject line names your course, and the signature includes your department and student number.

Why so much identifying information? A Korean professor may teach several classes with dozens of students each, and many students write by email. If the email names the course, the class and the student, the professor can answer without searching.

The greeting is the part learners find most unfamiliar. The next section explains how to address a professor.

How Do I Address a Professor in a Korean Email?

Address a professor as 교수님, with the surname or full name before it if you know it. The ending 님 makes the title respectful, and 교수 without 님 is not used when you speak to the person. A surname with the title, such as 김 교수님, is common. A full name with the title, such as 김민수 교수님, is the safest form in a first email.

Three points matter:

  1. Title before particle. In older letter style, the greeting reads 김민수 교수님께 ("To Professor Kim Minsu"). The particle 께 is the honorific "to" and comes after the title. A plain person would take 에게, so 김민수에게 would sound far too casual for a professor. Modern emails often skip 께 and write 안녕하세요, 김민수 교수님.
  2. Honorific subject. When the professor does something, the subject marker is 께서 instead of 이/가. For example, 교수님께서 말씀하신 자료 ("the material that the professor mentioned").
  3. Lecturers. Part-time lecturers are often also called 교수님, but a department may use another title. Copy the title in the syllabus or on the university page.

The pronunciation of 교수님 is [교수님] (gyosunim), with the three syllables kept clear. The honorific words that go with a professor form a small set.

Plain verb Respectful or humble form RR Use
말하다 (say) 말씀하시다 (professor says) malsseumhasida the professor's words
말하다 (say) 말씀드리다 (I say to) malsseumdeurida your words to the professor
묻다 (ask) 여쭈다, 여쭤보다 yeojjuda, yeojjwoboda asking the professor
주다 (give) 드리다 deurida giving to the professor
있다 (be there) 계시다 gyesida the professor is in the office
보다 (meet) 뵙다 boepda meeting the professor

The verb 드리다 is also the source of the signature 드림. These humble verbs lower you and raise the professor. With the greeting settled, the next section deals with the self-introduction.

How Do I Introduce Myself to a Professor?

Say which class you are in, then your name, in one sentence ending in 입니다. Add your student number in brackets or in the signature. If you are not enrolled, say why you are writing, for example as a visiting or prospective student.

저는 이번 학기에 교수님의 한국어 읽기 수업을 듣고 있는 에밀리 스미스입니다.

jeoneun ibeon hakgie gyosunimui hangugeo ilgi sueobeul deutgo inneun emilli seumiseuimnida.

I am Emily Smith, who is taking your Korean reading class this semester.

Word by word: 저는 is "I" (humble) plus the topic marker. 이번 학기에 means "in this semester". 교수님의 is "the professor's", with the possessive 의, so 교수님의 수업 means "your class" without saying 당신. Korean avoids "you" for a professor and uses the title instead. 듣고 있는 [듣꼬 인는] describes the class-taking in progress and modifies 에밀리 스미스. The spoken forms are [이번 학끼에] and [듣꼬 인는]. RR keeps hakgie and deutgo inneun.

Add the student number as (학번: 20261234) or put it after the name in the signature. 학번 (hakbeon) [학뻔] is the word for the student ID number. The sample number is invented.

You will know the introduction works when the professor can find you in a class list from one line. The request comes next.

How Do I Make a Polite Request to a Professor?

State your request in one sentence, give a short reason, and use the formal ending. Professors dislike long explanations in the first message. Three templates cover the most common requests.

Template 1: Absence

Tell the professor that you cannot attend, why, and what you will do about it.

몸이 좋지 않아서 이번 주 수업에 참석하기 어려울 것 같습니다.

momi jochi anaseo ibeon ju sueobe chamseokagi eoryeoul geot gatseumnida.

I am not feeling well, so I think it will be difficult for me to attend this week's class.

The phrase 어려울 것 같습니다 ("it seems difficult") is softer than 못 갑니다 ("I cannot come"), and it is the normal way to report an absence. Follow it with an apology and a promise: 죄송합니다. 수업 자료는 나중에 꼭 확인하겠습니다. (joesonghamnida. sueop jaryoneun najunge kkok hwaginhagetseumnida.) = "I am sorry. I will be sure to check the class material later."

Template 2: a Question

Say you have a question about the class and then ask it. The humble verb 여쭈다 ("to ask a respected person") shows respect.

수업 내용 중에 여쭤보고 싶은 것이 있습니다.

sueop naeyong junge yeojjwobogo sipeun geosi itseumnida.

There is something from the class that I would like to ask you.

You can shorten it to 질문드립니다 (jilmundeurimnida), "I would like to ask a question", which is also a popular subject line. 여쭤보다 is built from 여쭈다 plus -아/어 보다 ("try doing"), and the spoken forms are [여쭤보고 시픈 거시 읻씀니다].

Template 3: an Appointment

Ask for a meeting, name a time, and let the professor choose.

  • 이번 주에 면담을 요청드립니다. (ibeon ju-e myeondameul yocheongdeurimnida.) = "I am requesting a meeting this week."
  • 화요일이나 목요일 오후에 가능하신 시간을 알려 주시면 감사하겠습니다. (hwayoirina mogyoil ohue ganeunghasin siganeul allyeo jusimyeon gamsahagetseumnida.) = "I would be grateful if you could tell me a time on Tuesday or Thursday afternoon that is possible for you."

The key move is to offer two or three possible times and ask the professor to choose. Do not tell the professor when to be free. With the request in place, the closing comes next.

How Do I End an Email to a Professor?

End with thanks, a short wish for the professor, and your signature. A closing wish is a Korean habit that shows warmth without breaking formality.

Common wishes:

  • 건강하세요. (geonganghaseyo.) = "Please stay healthy." The most common wish.
  • 항상 감사드립니다. (hangsang gamsadeurimnida.) = "I am always grateful."
  • 좋은 하루 보내세요. (joeun haru bonaeseyo.) = "Have a good day."

The signature lists your department, name and sometimes your student number, followed by 올림 or 드림. 올림 sounds slightly more formal and is a good choice for professors. 드림 is also correct. Example: 한국어학과 에밀리 스미스 올림.

Pronunciation: 한국어학과 is [한구거학꽈] (hangugeohakgwa). The final ㄱ of 학 makes the ㄱ of 과 tense, and RR writes the plain spelling.

You now have all the parts. The next section assembles them.

The romanization of the lines not shown before: sueop naeyong jung gunggeumhan jeomi isseoseo myeondameul yocheongdeurimnida. bappeusin junge ilgeo jusyeoseo gamsahamnida.

You will know it works when a professor could answer with one line, such as a time. After the greeting, the email is five short sentences. Length is not the goal. After the model, a list of things to avoid will help.

What Should I Not Write to a Professor?

Do not use chat forms, casual endings, demands or vague subject lines. Professors often notice small signs of respect, and an email is judged as a sample of how you treat the class.

  1. Chat forms: ㅋㅋ, ㅎㅎ, emoticons and a tilde, as in 교수님~. These are fine with friends and wrong here.
  2. Casual endings: -어, -야 and -해. Use -ㅂ니다/습니다 or -(으)세요.
  3. Demands: 빨리 답장 주세요 ("Reply quickly"). Ask for the answer and thank in advance instead.
  4. Replies like 넵: it is a short chat answer, and it is better to write 네, 알겠습니다 ("Yes, understood") in a reply.
  5. Vague subjects: 질문 or 안녕하세요 as a subject does not say which class you are in.
  6. No identification: no course, no student number, no name in the body.

If you must email late at night or at a weekend, the email is still acceptable, but keep it short and do not expect a quick answer. Next comes a list of the mistakes that appear most often in student writing.

What Are the Most Common Mistakes and How Do You Fix Them?

Learners usually make five mistakes in an email to a professor, and each has a quick repair.

  1. Addressing the professor by name alone. Learners often assume the name is enough, as it often is in English. Actually, a Korean professor's name needs 교수님 after it. Fix: 김민수 교수님.
  2. Saying 당신 for "you". English "you" tempts learners. Actually, 당신 is not used for a professor. Fix: use 교수님, or the possessive 교수님의 as in 교수님의 수업.
  3. Using 묻다 for asking. Actually, 묻다 is plain. Fix: 여쭈다, 여쭤보다 or 질문드리다.
  4. Using 에게 or 한테 for "to". Actually, those are for equals. Fix: 께, as in 교수님께 질문드립니다.
  5. Skipping the reason. An absence with no reason reads as careless. Fix: add one short reason with -아/어서, such as 몸이 좋지 않아서.

An honest limit: Korean universities differ, and some professors invite informal contact. Follow the professor's own style, but start formal. For a lighter message to a friend, see the lesson on the Korean language exchange message.

A good subject names the course in brackets, then your name and the purpose. 질문 and 안녕하세요 do not say which class you are in, and a tilde is a chat form.

Answer key

  1. 안녕하세요, 김민수 교수님. A name alone is too direct, and 씨 is for peers.
  2. 질문드립니다. (jilmundeurimnida.) Or 여쭤보고 싶은 것이 있습니다. (yeojjwobogo sipeun geosi itseumnida.) Both use the humble verb and the formal ending.
  3. 이번 주에 면담을 요청드립니다. (ibeon ju-e myeondameul yocheongdeurimnida.)
  4. Answers vary. A model: 안녕하세요, 김민수 교수님. 저는 한국어 읽기 수업을 듣는 에밀리 스미스입니다. 몸이 좋지 않아서 다음 주 수업에 참석하기 어려울 것 같습니다. 죄송합니다. 감사합니다. Check that the greeting has a title and the sentences end formally.

A rule of thumb for checking your own email: if the professor read only the subject line and the first two sentences, would they know who you are and what you want?

Where to Go Next

After this lesson you can write a clear, respectful email to a professor. It covers the template and three request types, but not recommendation letters, thesis supervision or university rules about attendance.

  1. Compare the work-email style in the Korean business email lesson.
  2. Write on paper with the Korean letter format lesson, which uses similar greetings for a teacher.
  3. Review the humble verbs in the lesson on Korean honorifics.
  4. Study polite phrases for thanks and apologies in polite Korean phrases.
  5. Return to how to write a letter in Korean to see every message lesson in the set.

With these steps, a Korean email to a professor becomes a short template with a course name, a title, one request and a polite wish.

Frequently Asked Questions

How do I address a professor in a Korean email?

Write the professor's name followed by 교수님, as in 안녕하세요, 김민수 교수님. If you only know the surname, 김 교수님 is acceptable. Never use the name alone, 씨 or 당신. In older letter style the greeting is 김민수 교수님께, where 께 is the honorific particle meaning to.

What subject line should I use for an email to a professor?

Put the course name in brackets, then your name and the purpose as a noun phrase, for example [한국어 읽기] 에밀리 스미스 질문드립니다. The course name lets the professor place you quickly. Common purposes are 질문드립니다 (question), 면담 요청드립니다 (meeting request) and 결석 안내 (absence notice).

How do I ask a professor for an appointment in Korean?

Write 면담을 요청드립니다 (I am requesting a meeting), then offer two or three times and let the professor choose: 화요일이나 목요일 오후에 가능하신 시간을 알려 주시면 감사하겠습니다. Do not tell the professor when to be free. Thank them for reading the email.

How do I say sorry for being absent in Korean?

Give one short reason and an apology: 몸이 좋지 않아서 이번 주 수업에 참석하기 어려울 것 같습니다. 죄송합니다. Then promise to catch up: 수업 자료는 나중에 꼭 확인하겠습니다. The soft phrase 어려울 것 같습니다 is the normal way to report that you cannot come.
